Legal AI tools can save time, but the wrong platform can create confidentiality, verification, adoption, and billing problems. This checklist helps small firms compare vendors before signing an annual contract.

Quick rule: if a vendor cannot clearly explain where your data goes, how outputs are verified, how pricing scales, and who owns implementation, do not treat the demo as enough evidence.

1. Data and Confidentiality

  • Does the vendor train models on customer data?
  • Can the firm disable data retention or opt out of training?
  • Where is data hosted and processed?
  • Is there SOC 2, ISO 27001, or equivalent security documentation?
  • Can the vendor support confidentiality obligations for client matters?

2. Legal Accuracy and Verification

  • Does the product cite sources or show supporting text?
  • Can attorneys audit how an answer was produced?
  • How does the product handle hallucinations or uncertain answers?
  • Does it support jurisdiction-specific research or matter-specific playbooks?
  • Can reviewers compare AI output against source documents?

3. Workflow Fit

  • Which daily workflow will the tool improve first?
  • Will attorneys, paralegals, intake staff, or operations teams use it?
  • Does it integrate with the firm’s document, billing, email, or practice management system?
  • How much process change is required?
  • Can the tool be useful within the first 30 days?

4. Pricing and Contract Terms

  • Is pricing per user, per matter, per document, or usage based?
  • Are implementation, training, storage, or support fees separate?
  • Does the contract require annual commitment?
  • What happens if usage grows?
  • Can the firm test the tool with real workflows before committing?

5. Implementation Risk

  • Who configures templates, playbooks, or permissions?
  • How long does onboarding usually take?
  • What training is included?
  • Does the vendor provide migration support?
  • Who inside the firm owns adoption after launch?

6. Vendor Fit

  • Does the vendor serve firms like yours?
  • Are references available from similar practice areas?
  • Is support legal-workflow aware or generic SaaS support?
  • Does the roadmap match the firm’s needs?
  • Can the vendor explain limitations plainly?
